Simpro, with AI doing the typing

Simpro Automation with AI

Simpro automation with AI means workflows that read what comes in from the field, check it and write it into Simpro, so nobody re-types it by hand. I build them for service and trade businesses, and anything that changes a record waits for a person's yes.

What I build

Your field reports and job costs shouldn't be typed into Simpro twice. These are the pieces I put together, in your own accounts.

Field report in, Simpro job out

A workflow reads what the crew filed, checks it against your rules and writes the job into Simpro, so the office stops being the typing pool.

Job costs that match

Totals are compared between the workflow and Simpro before sign-off, so the numbers you see in Simpro are the numbers the crew reported.

A project plan for each job

Claude turns a new job into a written project plan in Notion, so the work starts with the steps already laid out.

A person's yes where it counts

Anything that leaves your business or changes a record waits for approval, so a person always has the last word.

One real result

For a property restoration contractor in Australia, a repeat client, I designed and delivered the workflow that writes each job into Simpro.

In the final test run, the job total before GST was 11,148.336 in their app and 11,148.34 in Simpro, matched to the cent. A second workflow had Claude turn each job into a Notion project plan. One feature, a lock on finished jobs, failed in testing. It traced back to Simpro's own feature and was raised with Simpro.

How it works and what it costs

A build comes after a plan, and starts only after a separate yes.

The route from first conversation to handover is on How an Engagement Runs. A build is a fixed price once the plan pins down the scope, or hourly with a stated cap if it can't be pinned down yet, and what comes with it is on What Goes Into a Build. Upkeep afterwards is optional, $150 or $400 a month, and it covers keeping the workflow working when Simpro or an AI provider changes something.

Questions I get
  • Can AI write jobs into Simpro for me?

Yes. I've built a workflow that writes each job into Simpro, and a second one that had Claude turn each job into a project plan. Anything that changes a record in Simpro waits for a person's yes before it goes in.

  • Do you use n8n, Zapier or something else?

I use n8n for the plumbing between your apps and Claude for the reading and checking. The plan picks the simplest tool that does the job, and fixed rules with no AI in them are often the better choice.

  • Will it get my numbers right?

That's what the test run is for. Before sign-off I compare the totals in the new workflow with what lands in Simpro. Yours is signed off against written criteria, and anything that falls short in the 30 days after sign-off I fix at no charge.

  • What does it cost?

A build is a fixed price once the plan pins down the scope, or hourly with a stated cap if the scope can't be known yet. Upkeep afterwards is $150 or $400 a month, and it's optional.

  • Does it have to run in my own accounts?

Yes. Everything is built in your own accounts, not mine, so you own it and can hand it to someone else. Your software and AI usage bills come to you directly.

Where to start

It starts with a free conversation. Tell me which job details your office re-types into Simpro most, and we'll work out together whether it's worth building.
